- OCC — Occupied: A registered guest is currently staying in the room.
- V — Vacant: No guest is currently assigned to the room.
- VD — Vacant and Dirty: Guest has checked out; room has not yet been cleaned. The room cannot be sold.
- VC — Vacant and Clean: Room attendant has completed the clean, but a supervisor has not yet inspected it. Still not ready for assignment in full-service properties.
- VR / VCI — Vacant Ready / Vacant Cleaned and Inspected: Room has been cleaned and verified by a housekeeping supervisor. This is the only status from which a room should be assigned to a new arriving guest.
- OC — Occupied and Clean: In-house guest’s room has been serviced.
- OD — Occupied and Dirty: In-house guest’s room has not yet been serviced for the day.
- OOO — Out of Order: Room has a serious problem (burst pipe, major renovation) and is fully removed from hotel inventory. Cannot be sold under any circumstances; affects occupancy percentage calculations.
- OOS — Out of Service: Room is temporarily unavailable for a minor issue. Unlike OOO, an OOS room is not deducted from the hotel’s official room count and can return to sellable inventory quickly.
- DND — Do Not Disturb: Guest has declined housekeeping service, typically communicated via a Do Not Disturb sign or door hanger.
- On-Queue: Guest has arrived at the property, but their assigned room is not yet ready. Housekeeping is directed to prioritize that room immediately.
- CO — Check-Out: Guest has vacated; room needs preparation for the next arrival.
- DNCO — Did Not Check Out: Guest settled their bill but never formally checked out at the front desk. The room appears occupied in the system but may be vacant, requiring physical verification before cleaning can begin.
- SO — Slept Out: Room is occupied on paper but the bed was unused, suggesting the guest slept elsewhere.
- NS — No Show: A reservation was made but the guest never arrived.
- HU — House Use: Room is occupied by hotel staff.
The Room Status Lifecycle
Room status follows a predictable sequence throughout the day: a room moves from OCC → OD (after the in-house guest wakes) → VD (after checkout) → VC (after the room attendant completes the clean) → VCI/VR (after supervisor inspection) → OCC (after the next guest checks in and receives a key card). Understanding this flow helps housekeeping supervisors sequence their floor assignments and helps front desk agents manage guest expectations during peak check-in hours.
The room attendant executes the physical steps that drive most of these transitions. Using a room attendant cart stocked with fresh linens and supplies, attendants move through VD rooms, collect soiled linens in a linen bag, dispatch them via a laundry chute or soil cart, and clean the room using tools like a room attendant caddy and microfiber cloths before updating the status to VC.
OOO vs. OOS: A Critical Distinction
Confusing Out of Order and Out of Service creates real financial consequences. An OOO room is fully removed from the sellable inventory count — if a 200-room hotel has 5 rooms OOO, it is operating as a 195-room hotel for purposes of occupancy and RevPAR calculations. An OOS room remains in the inventory count but is temporarily blocked; it does not affect the denominator in occupancy metrics. Engineering and maintenance teams monitor both statuses to schedule repairs, and a deep clean is a common reason a room moves to OOS temporarily.
Room Status Reconciliation
Room status reconciliation is the process of ensuring every room is correctly labeled and updated as conditions change throughout the day. It is the primary mechanism a hotel uses to prevent double-assignment — assigning two guests to the same room — and to maximize room revenue by releasing cleaned rooms to the front desk as quickly as possible. Discrepancies between what housekeeping reports and what the front desk sees in the system are a common failure point that leads to guest complaints and comp nights.
How Room Status Is Managed Today
Modern hotels use Property Management System (PMS) software — such as Oracle Opera or Cloudbeds — integrated with mobile devices carried by room attendants and supervisors.
